Refund and Cancellation Policy

Ruhani Sach Naam Satsang (Regd.) accepts voluntary donations in support of its lawful religious, spiritual, charitable and social welfare objectives.

Donors are requested to carefully verify the donation amount, donor information and payment details before completing a transaction.

1. GENERAL POLICY

A successfully processed donation is generally final and non-refundable because donations may be allocated to the organization’s approved programmes and activities.

A refund may nevertheless be considered in the limited circumstances described in this Policy.

2. ELIGIBLE REFUND CIRCUMSTANCES

A refund request may be reviewed where:

a. The same donation was accidentally processed more than once;
b. An incorrect amount was entered due to a genuine error;
c. The payment was made without the lawful authorization of the payment instrument holder;
d. A technical error caused an incorrect or duplicate debit;
e. The transaction was received but could not lawfully be accepted;
f. The organization is unable to apply a formally restricted donation to the accepted purpose; or
g. A refund is required by applicable law, a bank, payment network or authorized payment service provider.

Submitting a request does not automatically guarantee approval.

3. TIME LIMIT FOR REQUESTS

A refund request should ordinarily be submitted within 7 calendar days from the transaction date.

Requests submitted after 7 calendar days may be declined, particularly where the donation has already been allocated or utilized.

Claims involving an unauthorized or fraudulent transaction may be reviewed according to applicable banking, payment network and legal requirements even when reported later.

4. INFORMATION REQUIRED

The refund request must include:

a. Donor’s full name;
b. Registered email address and mobile number;
c. Donation date;
d. Donation amount;
e. Transaction ID, order number or payment reference;
f. Reason for requesting the refund;
g. Payment receipt, bank statement or screenshot, where available; and
h. Any other document reasonably required to verify the request.

Incomplete requests may remain pending until the required information is provided.

5. HOW TO SUBMIT A REQUEST

The email subject should preferably mention:

“Donation Refund Request – Transaction ID”

6. REVIEW AND DECISION

The organization will verify the request against its payment gateway, bank and accounting records.

The request will ordinarily be acknowledged within 3 working days.

An effort will be made to approve, reject or seek further information within 15 working days, depending upon the nature of the matter and responses received from the payment gateway or bank.

The organization may reject a refund request where:

a. The transaction cannot be verified;
b. The information provided is false or misleading;
c. The request is outside the permitted period without sufficient reason;
d. The donation has already been materially utilized or allocated;
e. The payment was knowingly and voluntarily authorized; or
f. The request appears abusive or fraudulent.

7. METHOD OF REFUND

An approved refund will ordinarily be processed through the original payment method used for the donation.

Refunds will not normally be paid in cash or transferred to a different person, personal wallet or unrelated bank account.

The donor may be required to provide additional verification where the original payment method is no longer available.

8. REFUND PROCESSING TIME

After approval, the organization will ordinarily initiate the refund within 7 to 10 working days.

The final time taken for the amount to appear in the donor’s bank account, card account or UPI-linked account will depend upon the payment gateway, issuing bank, card network or payment service provider.

Payment gateway or bank delays are beyond the direct control of the organization.

9. FAILED OR PENDING TRANSACTIONS

Where a payment fails but the donor’s account is debited, the amount may be automatically reversed by the issuing bank or payment provider.

If the amount is not reversed or the donation is not confirmed, the donor should contact the issuing bank or payment provider and may also send the transaction details to the organization for verification.

The organization can refund only an amount that has actually been received or settled in its payment records, unless otherwise directed by the payment gateway or bank.

10. DUPLICATE TRANSACTIONS

Where the same donation has been successfully received more than once due to a technical or accidental duplicate transaction, the duplicate amount may be refunded after verification.

The donor should clearly identify which transaction is intended to be retained.

11. CANCELLATION OF ONE-TIME DONATION

A one-time donation cannot ordinarily be cancelled after the payment has been successfully processed.

An eligible cancellation request shall be treated as a refund request under this Policy.

12. RECURRING DONATIONS

Where a recurring donation facility is offered, the donor may request cancellation of future recurring debits.

Cancellation of future debits does not automatically refund donations already processed.

The request should be submitted sufficiently before the next scheduled debit to allow processing by the relevant payment provider.

13. DONATION RECEIPTS AND TAX DOCUMENTS

Where a refund is approved, the corresponding donation receipt, acknowledgement or tax-related certificate may be cancelled or revised.

The donor must not claim a tax benefit for an amount that has been refunded.

14. CHARGEBACKS

Donors are requested to contact Ruhani Sach Naam Satsang (Regd.) before initiating a chargeback so that the transaction can be investigated and resolved.

The organization reserves the right to contest false, fraudulent or misleading chargeback claims by providing relevant transaction and communication records to the bank or payment provider.

15. POLICY CHANGES

The organization may revise this Refund and Cancellation Policy to reflect changes in law, banking requirements, payment gateway rules or organizational processes.

The revised Policy shall apply from the date it is published on the website.
